Community Animals

Community Animals is a Person Category that was created to cater to TNR programs, colony cat programs and similar situations where animals are coming into care that are neither owned or classified as "stray". These animals can be easily counted separately from other intake types and withheld from numbers if appropriate. 

Community Animals are considered In Care and will count against your intake/outcome numbers. 

If you have different Hold Times for this type of animal, please remember to go into AdminHold Times Administration to set this up before you continue. 

To process a Community Animal into care:

  1. Go to a Person Record and scroll down to the Person Categories at the bottom.
  2. Find and click on the Community Animal link

  3. Select either Add New Community Animal or Existing Community Animal or Multiple Community Animals

    • If you select "Existing", use the search fields to search for the required animal record and click Add Community Animal to confirm
  4. The source and circumstance will default to Community Animal. 

  5. From the Status drop-down, select the appropriate status. The list of available statuses should match the one for your Stray animals.
  6. Enter any relevant information into the Animal Details page as normal. 
  7. Click Update Details
    • If you selected Multiple animals earlier, the multiple animal process page will load after you update the first record. Update each record in turn as desired. 
    • NOTE: No receipt or form will be offered for these animals at this time 

To Release a Community Animal:

There are two processes to follow here: 

The first is to simply change the status on the Animal Details page to Return to Habitat and complete the receipt as normal. This will take you to a print page. 

Receipts can be set up via Admin > Templated Documents > Animal Forms (Printed) - Return to Habitat

 This process can be applied to bulk records using the Bulk Animal Update menu from the Welcome/Search page. No receipt is available via this option.  

The second requires you to follow this process: 

  1. From the Person Details page, scroll down to the Person Categories at the bottom. 
  2. Select the Community Animal option
  3. Use the Search Fields to search for an existing animal in care
  4. Click Edit to load the Animal Details page
  5. Change the status to Return to Habitat
  6. For some sites, a Sub-Status will also be required. 
  7. Update any other details as required and click Update Details
  8. Select if you would like to select a Receipt for One Animal* or No Receipt
  9. Complete the Receipt page as normal

* Note: at this time, this process only caters to a single animal at a time. 

Receipts can be set up via Admin > Templated Documents > Receipts > +Create > Return to Habitat

These animals will report as unique sources on report 196 Incoming Detail List, 9 Shelter Statistics - Incoming, and similar intake reports. 

For Shelter Animal Count reports they will be counted with the Stray animals.
