Internal Transfer Procedure: Single Animal

This process enables you to transfer an animal from one physical location to another.  Some examples would be transferring an animal from its current physical location to an offsite vet clinic for spay/neuter or to a pet store for adoption.  The animal will already be in the system.  This process is done prior to transfer and will enable the animal to display on a transfer report.

*NB: you must be logged in as the same Physical Location as the animal to transfer it out. 

To Transfer an Animal out of one Location, to another

  1. Search for the animal via the welcome page.
    • Go To Animal ID: enter the animal ID and click Edit Animal Details page will display.
  2. Complete the following: 
    • Status: click on the down arrow to select the status of Awaiting Transfer.  
    • General Animal Notes: if applicable/required, enter where the animal is, where the animal is transferring to and the date the transfer is expected to happen.
  3. Click Update Details.  This will return you to the top of the Edit Animal Details page.
  4. In the Animal Menu scroll to the bottom and click on the Transfer link.
  5. The Edit Transfer Details page will display.
    • From:  this will display where the animal is currently located.
    • To:  click on the down arrow to select where the animal will be transferred to.
    • Transfer Purpose:  click on the down arrow to select the reason for the transfer.
    • Date:  today’s date will default.  If this is incorrect, click on the Calendar Icon to select the correct date the animal will be transferred. NB: if you are forward-dating a transfer, take care that the time stamp corresponds with the time the animal is expected to be transferred. If you are working after hours and forward-date to the next day, but forget to amend the time stamp, you may cause time/date imbalances in the status history that prevent the receiving shelter from updating the file easily when receiving the animal in.
    • Click Update Details.
  6. This will return you back to the Edit Animal Details page. The status will now display as Internal Transfer Out.

 

To Receive a Transferred Animal into the Destination Location:

This process enables you to receive transferred animal from another internal location.  Some examples would be receiving animals that have been transferred to your location from another internal location for spay/neuter or receiving an animal back from spay/neuter.  The animal will already be in the system.  This process is done after transfer.

*NB: you must be logged in as the same Physical Location as the animal's destination to receive it in.  

  1. Search for the animal via the welcome page.
    • Go To Animal ID: enter the animal ID and click Edit.  Animal Details page will display.
  2. Complete the following: 
    • General Animal Notes: if applicable/required, enter where the animal is, where the animal is transferring to and the date the transfer is expected to happen.
  3. Click Update Details.  This will return you to the top of the Edit Animal Details page.
  4. In the Animal Menu scroll to the bottom and click on the Transfer link.
  5. The Edit Transfer Details page will display. At the top of the page, the animal's previous status (prior to transfer) will display for reference.
    • Cancel Transfer: Click this link if the animal was omitted from the transfer at the last minute and never arrived at the destination.
      • A pop up will deploy to check you really mean to cancel the transfer. Click OK to confirm or Cancel to return to the Edit Transfer Details page. 
    • Status:  Select a new in-care status from the drop down.
    • General Notes:  this enables you to add notes to the General Notes field at the bottom of the Animal Details page. This may not be necessary if you have already placed notes in the General Animal Notes section.
    • New Shelter Location:  click on the down arrow to select the new Shelter Location. This list will reflect only locations linked to the destination shelter.
    • Kennel #:  this drop down will populate once the Shelter Location has been selected. Select the animal's Kennel number here. 
    • Click Update Details.
  6. This will return you back to the Edit Animal Details page. The animal is now in care at the new destination.
