How to block a user from editing / creating a New Person

This process shows you how to stop users from editing or creating a Person File without appropriate access.

To perform this task, you will need access to the Administration menu. 

  1. From the Welcome/Search page, go to the orange left-hand menu and click the option Administration
  2. On the resulting page, find and click on the option Edit User Access
  3. From this menu, find and click on the option Manage Pages - Special Cases
  4. Click the option New Page towards the top of the page
  5. You will see a series of options:
    • Page Type: click the down arrow at the end of the drop-down box and select the option "Other Page". This will load new option below. 
    • Page Name: Enter a title for the function that will identify if for users moving forward, e.g. "Edit Person Page"
    • Path: enter /personinfo/personDetails.aspx
    • Query String: enter task
    • Query String Value: enter edit
    • Description: enter information here that explains the purpose of the page. 
  6. Click the Save button.
  7. At this time, NO ONE will have access to add/edit a person page. 
  8. Assign "Read only" access to any users/groups who need to view the Person Details page, but not edit it. 
  9. Assign "Full" access to any users/groups who need to be able to add or edit a Person Details page.
  10.  Assigning "No access" or not assigning a user or group will mean that if they attempt to search for a specific person, or click the Edit link from any search or feature to see a Person Details page, they will simply see the message Back: you do not have permission to view this page. 

 

Remember: if the "person" is actually an Agency or Shelter/Rescue that exists in one of the drop-downs from the Welcome/Search page, different controls are applied. 

For these files, simply do the following:

  1. From the Welcome/Search page, go to the orange left-hand menu and click the option Administration
  2. On the resulting page, find and click on the option Edit User Access
  3. From this menu, find and click on the option Manage Fields
  4. Locate and click on the option agencyLock and click the option to Edit or Activate (if not already active).  
  5. Assign access as required: only No access or Full access will apply here as this feature simply removes the Update Details button from the file's Person Details page.
