DOA - Releasing Remains to an Owner

Sometimes a DOA animal will come in with identification, or an owner may be located via another means. In these cases, the owner may wish to claim their pet's remains for private disposal. This process explains how to release a DOA animal to an owner. 

*For this procedure to work the animal must have an in care status, such as Awaiting Final Disposition. You cannot release remains if the animal's status was set immediately to DOA

This process requires the use of the Reclaim (Redeem) / Relinquish process. For simplicity's sake, we shall refer to this as "Reclaim" in this document. 

  1. Obtain the Animal ID.
  2. Search for person reclaiming their animal.
    • If found, skip to step #3.
    • If not found, click on the Create a New Entry link or click on the New Record link in the orange menu to the left of the screen, if available.
    • Fill in the relevant blanks on the Add New Person Mandatory fields: first name, last name, residential address, mailing address if different than residential,   telephone number, and gender.  Depending on your organization you may be required to confirm identification and include date of birth.
    • Click Update Details.
  3. On the Edit Person Details page, click on the Scroll To Bottom link in the upper left hand section of the screen and click on the Reclaim link in the Personal Categories
  4. On the Reclaim screen, click on the Reclaim an Existing Animal
    • On the Animal Search page enter the Animal ID in the Go To Animal ID ClickView.
    • Click on the Reclaim link if the record displayed is correct.
  5. Complete the following:
    • StatusSelect the status DOA - Released to Owner. This status is a "deceased" outcome and marks that the animal was not alive when it entered care, nor when it left; but that the remains were released to the owner's custody and not disposed of by the organisation. If this status is not available to you via this menu, please contact support@shelterbuddy.com
    • Name: This is not necessarily mandatory; but good practice to record it if the owner is comfortable sharing it at this time. 
    • There may be additional mandatory fields depending on your site's settings. 
  6. Depending on local settings, the License page may load.
    • Click the Registration Exemption option and select a relevant choice from the drop down.
    • You may also need to click the exemption option for the Rabies Vaccination information, again depending on your local settings and protocols. Click Update to proceed.
  7. The Add Receipt page will display.
    • Payment Method: If payment is required, click on the down arrow to select the method of payment. EX: credit card, check, cash, etc. If no payment is required, select "Free of Charge".
    • Complete applicable fields based on the payment method.
    • Ensure there is a designated allocation selected if receiving payment.
    • If Digital Signatures are enabled for your site and this type of form, have the client sign now.
    • Click Update + Print.
  8. Print copies of the receipt as required.
