Emergency Boarding: Release

Depending on the circumstances of the emergency, an Emergency Boarding Animal may be released back into the custody of the person who delivered it in the first place (if that was the rightful owner) OR it may need to be released into the custody of someone other than the person who surrendered it into care (e.g. if the animals were entered anonymously due to being evacuated from a disaster area).

 

  1. Search the system for the animal’s file and note the Animal ID number. They may or may not be linked to the person surrendering them.
  2. Search for surrendering person.
    1. If found, skip to step #3.
    2. If not found, click on the Create a New Entry link or click on the New Record link in the orange menu to the left of the screen.
    3. Fill in the relevant blanks on the Add New Person Mandatory fields: first name, last name, residential address, mailing address if different than residential,   telephone number, and gender.  Depending on your organization you may be required to confirm identification and include date of birth.
    4. Click Update Details.
  3. On the Edit Person Details page, click on the Scroll To Bottom link in the upper left hand section of the screen and then click on the Emergency Boarding link in the Personal Categories
  4. On the Emergency Boarding Details page click on the Return an animal to this owner
    • On the Animal Search page enter the Animal ID in the Go To Animal ID Click View.
  5. Complete the following (All Yellow fields are mandatory and may or may not be listed below):

Identification Details

  1.  Status: click on the down arrow and select the most appropriate status. Usually, the only one available at this point is Emergency Boarding Returned to Owner.
    • If the animal has any Identification that has been issued by the shelter during its stay that is not yet recorded on the file, this should be done now.
    • The weight of the animal can be recorded on exit: this can help determine how the animal is coping with the stress of the emergency boarding situation.
  2. All other details should already be correct, but if not update anything outstanding (e.g. animal’s name may not have been known on entry if it came in via a disaster scenario).
  3. Click Update Details at the bottom of the screen.
  4. This will take you to the Receipt Type
  5. The Add Receipt page will display.
    • Payment Method: Click on the down arrow to select the method of payment. EX: credit card, check, cash, etc. If no fee is required, click on the down arrow to select Free of Charge.  This page is displayed so that donations can be entered if needed.
    • Complete applicable fields based on the payment method.
    • Ensure there is a designated allocation selected if receiving payment.
    • If your site is enabled for digital signatures, have the client sign now.
    • Click Update + Print.
  6. If not enabled for digital signatures, print two copies of the receipt and have the client sign your copy. Otherwise, print only if the client requires a hardcopy: they can be emailed direct to save paperwork.
