Admin - Maintain Source History for an Animal

This section allows an animal records source history to be altered.  Only users with administrative access can process this function.

To Edit a source:

You may need to edit an animal's source if, for example, the incorrect source was applied during intake.  

Tip: The Date/Time stamp of any given Source must correlate to an intake status. It will not allow you to amend to a date or time earlier than the first linked status. If a file was created with an earlier source date than status date, these will need to be balanced so the intake reports correctly. They should always match. 

  1. Obtain the Animal ID.
  2. Click on the Administration link in the Orange Menu on the left-hand side of the screen.
  3. Click on the Maintain Source History For Animal link.
  4. Animal ID:  enter the ID of the animal record to be altered.
  5. Click View Source History.
  6. Edit:  click on the applicable edit link for the source that is to be changed.
  7. New Source:  click on the Change link to switch between Baby and Adult animal types (e.g. Kitten to Cat). 
  8. New Animal Type:  click on the down arrow to select a new animal type, if applicable.
  9. Date of Source:  click on the Calendar Icon to select the date the source is to have taken effect. You can also amend the time stamp here.
  10. Change Animal’s Current Source:  place a check mark in the box if this is to be the Animal record’s current source. Changes made in Edit Source History will not display on the Animal Details page unless this checkbox is used. 
  11. Click Edit Source History.

The screen will refresh and display the new source history.

 

To Delete a source:

This function should always be used with caution. In order to function correctly, an animal's file must maintain a balance between the source and status history. You should never delete a source unless you are 100% certain it is superfluous to the animal's history and won't affect the function of the file.

Tip: There must always be at least one Source in an animal's history. It will not let you delete the earliest source unless the earliest status has been linked to another (amended) source.

Note: Deleting a source will remove it completely and irrevocably from the animal's history. Do not delete unless absolutely necessary.

Note: Do not delete a source if an Undo feature is available. There are undo features for the following:

- Undo a Return

 

  1. Obtain the Animal ID.
  2. Click on the Administration link in the Orange Menu on the left-hand side of the screen.
  3. Click on the Maintain Source History For Animal link.
  4. Animal ID:  enter the ID of the animal record to be altered.
  5. Click View Source History.
  6. delete:  click on the applicable delete link for the source that is to be removed.
  7. Click Yes.

 

The screen will refresh and display the source history minus the source that was removed.

Deleted and Edited Sources will be visible via the Audit Trail Report.
