Animal Task List Overview

The Animal Task feature is designed for scheduling work specifically for in-house animals, such as grooming or high-priority assessments. Tasks are assigned either by a specific animal or via the Task landing page. For information on how to set up Tasks, see our help doc Animal Task List Admin

To navigate to the Animal Tasks landing page from the Welcome/Search Page:

  1. On the Welcome / Search Page, locate the Search Menu at the top of the page. 
  2. Within this box, locate and click on the link Animal Tasks (just below the Bulk Updating Menu).

To navigate to the Animal Tasks landing page via the Animal Details page find and click the link in the Animal Menu called Animal Tasks.

The Animal Task landing page will load, displaying any tasks due. Overdue tasks or tasks due today will be highlighted in red.

This list can be filtered to help you find relevant tasks quickly, and you can save search filters as a shortcut. 

  1. The Physical Location filter will default to the same location you are currently logged in for. Click the down arrow to select a different region from the drop-down, or select the empty space at the top of the list to include all Physical Locations in your search.
  2. Animal ID: if you would like to restrict your search to tasks assigned to a specific animal, type the Animal ID number into this text box. It will also find the animal name, but if there are too many for it to easily match (e.g. if the name is very common) then it would be easier to use the Animal ID number. This is an auto-complete text box, so as soon as you type the first few characters (digits or letters) it will suggest possible matches. Click from the offered list to confirm and select. 
  3. Tag: Tags are used to help define a task by section, discipline, skillset or any other relevant factors, as well as offering the option to prompt pre-requisites that must be accomplished before a task is performed. Filter your search using tags by clicking on the down arrow to select from the drop-down, or type the first letter and the list will take you there.
  4. Task: Filter by specific tasks by clicking the down arrow to select from the drop-down, or type the first letter and the list will take you there. 
  5. Type: To filter your search by Animal Type, click the down arrow on this box to select from the drop-down, or type the first letter and the list will take you there.
  6. Due By: search for tasks due Today, Tomorrow, Next Week or within a Date Range by clicking the down arrow and making a selection from the drop-down options. 
    • If you select Date Range, the From and To date boxes adjacent will activate. 
    • Click on the Calendar icon at the end of the box to select a date. 
  7. Show Deleted Tasks: Click this box to include tasks that have been deleted. Previously deleted tasks will not show a Complete button, only the Edit button. Click the Edit button for an option to un-delete. Once un-deleted, the Complete button will appear. 
  8. Show Completed Tasks: Click this box to include tasks that have already been completed. These tasks will not have either an Edit button or a Complete button visible. 
  9. Once the filters are set to your satisfaction, click the Search button to filter your search.
  10. Click +Save Filter to save your criteria for reuse. Saved filters will appear in the drop-down just above the Physical Location filter. 
    • To use a saved filter, click the down arrow to select an option from the drop-down described above and click Apply Saved Filter
    • To delete a saved filter, select the filter to be deleted from the drop-down then click the down arrow on the Apply Saved Filter button to see the Delete Filter option. 
    • From here you can also set a particular filter as a Default Filter, meaning this filter will appear in the drop-down whenever someone views this page. 
    • You can remove a default setting for a filter by clicking the down arrow on the Apply Saved Filter button and selecting Clear Default Filter.
  11. To clear a previous search, click the Clear Filter button to reset the search filters to their default settings. 

To assign a task to an animal via the Animal Tasks landing page:

  1. Locate the button +Assign Task to Animal and click to load the Create Animal Task page.
  2. Physical Location: this will default to the location you are currently logged in for. 
  3. Animal IDThis field will also find either the Animal ID number OR the Animal Name. Type the first few characters (either digits or letters) and the box will offer suggestions. If you are searching for a very common name (e.g. "Bella") it will be easier to use the Animal ID. Click on the correct option from the list suggested to confirm and select.
  4. Filter task by tags: this handy tool will reduce the list of tasks to choose from depending on the tags allocated to them. So for example, if you would only like to see tasks assigned by your specific team, type in the tag for your team and this will limit the Task list below to just those tasks that include this tag. This is an auto-suggest field, so type the first few letters then click from the suggested options to select your tag or tags. 
    • You can add as many tags as you need to. Select and press enter and each assigned tag will appear beneath the text box. Repeat as often as required. 
  5. TaskSelect the task you would like to add to this pet from the drop-down by typing the first few letters then clicking from the suggested options to select your task.
  6. Pre-Requisite: A pre-requisite is a task that must be completed for this animal before the task you are assigning can be completed. If a pre-requisite is assigned, you won't be able to mark this task as complete until the pre-requisite task has been marked complete first. To assign a pre-requisite (unless defaulted by the task settings), place your cursor in the drop down and type the first few letters then click from the suggested options to select the task from the list.
  7. Due Date: Click the calendar icon to select the date the task is due to be completed.
    • You will notice to the right of the calendar icon is a link that says Set Specific Time. Click this link to set a particular time on the selected date by which the task must be completed. This can be useful if the task is a pre-requisite for another task that needs to be completed on the same day.
  8. Default Recurrence: Setting a default recurrence means that as you mark this task as complete, the system will automatically set up another task to follow it on the next assigned date/time until the desired occurrences are complete. To set a default recurrence, tick the box and the fields below will activate:
    • Start Date for Recurrence: this will default to today but can be set for a different day by clicking the calendar icon to select a date.
    • Repeat Every: Type a whole number into the text box (e.g. 1, 2, 14 etc.), then select from the drop down an option such as Days, Weeks, Month, Year. This will determine how often the task is to be repeated, and how the tasks are to be spaced. 
    • End After*: Tick this option to activate a text box to nominate if the recurrence of the task should end after it has been performed a set number of times. For example, it might be routine to repeat a medicated bath once a week, but only for 6 weeks, so after 6 recurrences of this task, the recurrence would be discontinued. 
    • Continue Until*: if the task is to be continued until a specific date, click the box to activate the calendar, then click the calendar to select the date in question.
    • You need only select one or the other for these options: however, you can include both if that works for this particular task.  If neither is selected, the task will be recurring infinitely. 
  9. Notes: This is a handy text box to write notes relevant to this task for this animal. 
  10. Click Save to set the task or Cancel to discard it. 
  11. You will return to the Animal Tasks landing page. 

To Complete an Animal Task: 

  1. From the Animal Tasks landing page, you will see a list of all tasks that are either due or overdue. 
  2. Locate the task you are looking for by using the filters above.
  3. Click the Complete button for that task.
  4. You will be prompted to confirm you wish to complete the task. Click Confirm to continue or Cancel to return to the list without making changes. 
  5. Once marked Completetasks will disappear from the list and only show if the Show Completed Tasks option is applied.
  6. To Complete multiple tasks at once, place a tick at the left of each task you wish to mark completed, then go to the bottom of the list and click the down arrow on the drop down to select Mark as Complete so it shows in the text box. 
  7. The Apply to Selected button will now be active, so click to proceed. 
    • You will be prompted to confirm you wish to complete the tasks. Click Confirm to continue or Cancel to return to the list without making changes. 
  8. When completed you should see a message at the top of the page telling you the Animal Task/Selected Animal Tasks are now complete! 

To Edit an Animal Task:

  1. From the Animal Tasks landing page, you will see a list of all tasks that are either due or overdue. 
  2. Locate the task you are looking for by using the filters above.
  3. Click the down arrow on the Actions button for that task.
  4. From the offered options, select Edit
  5. Details of the task will display as they were originally set up.
  6. Make any changes required. 
  7. Click Save to keep your changes or Cancel to discard.
  8. The page will return to the Animal Tasks landing page.

To Delete an Animal Task:

  1. From the Animal Tasks landing page, you will see a list of all tasks that are either due or overdue. 
  2. Locate the task you are looking for by using the filters above.
  3. Click the down arrow on the Actions button for that task.
  4. From the offered options, select Delete
  5. You will be prompted to confirm you wish to delete the task. Click Confirm to continue or Cancel to return to the list without making changes. 
  6. Once deleted, tasks will disappear from the list and only show if the Show Deleted Tasks option is applied.
  7. To delete multiple tasks at once, place a tick at the left of each task you wish to mark deleted, then go to the bottom of the list and click the down arrow on the drop down to select Delete so it shows in the text box. 
  8. The Apply to Selected button will now be active, so click to proceed. 
    • You will be prompted to confirm you wish to delete the tasks. Click Confirm to continue or Cancel to return to the list without making changes. 
  9. When completed you should see a message at the top of the page telling you the Animal Task/Selected Animal Tasks deleted successfully.
