Admin - Adding Note Templates

This process allows you to create standardised templates that can be used to apply frequently repeated information into areas such as Vet Consults, Behaviour Assessments, Vet Notes and General Animal Notes.

NOTE: Templates have a limit of 2500 characters. This may be subject to change without warning. 

Users must have access to the Administration menu to perform this task.

  1. From the Welcome / Search page, click on the Administration link in the orange menu on the left-hand side of the screen.
  2. Locate and click on the menu option Edit Drop Down Lists
  3. Scroll down to almost the bottom of the resulting screen to find the option Note Templates. Click the option to Add.
  4. From the drop-down, choose the note category or categories the template is to be available for. You may select multiple categories here. This will be a list of any Note Category previously set up for the General Animal Notes, Behaviour Notes, Vet Notes and Vet Consultation Notes areas. 
  5. Enter the desired text into the free text window. 
  6. Click Add Vet Template Description
  7. The window will automatically close. Your Template is now ready to use.

To Edit a template:

  1. From the Welcome / Search page, click on the Administration link in the orange menu on the left-hand side of the screen.
  2. Locate and click on the menu option Edit Drop Down Lists
  3. Scroll down to almost the bottom of the resulting screen to find the option Note Templates. Click the option to Edit.
  4. In the resulting pop-up, click on the link at the top Select Vet Template Description
  5. This will open a secondary pop-up that displays all current templates, with paging at the bottom to help you find what you are looking for.
    • Note: there is a filter for Note Category here. It can be used to filter Note Templates or to re-assign the category to a template. 
  6. Click the Select link beside the template you would like to edit and the window will close. The original window will now display the desired text to edit.
  7. Make changes as desired to the text or category and click Edit Vet Template Description to finish and the window will close automatically. 

To Delete an existing template:

  1. From the Welcome / Search page, click on the Administration link in the orange menu on the left-hand side of the screen.
  2. Locate and click on the menu option Edit Drop Down Lists
  3. Scroll down to almost the bottom of the resulting screen to find the option Note Templates. Click the option to Delete.
  4. Click the link Select Vet Template Description
  5. A secondary pop-up window will open to display all current templates, with paging at the bottom to help you navigate. 
  6. Click the Select link beside the template you would like to delete and the window will close.
  7. You will not be able to see the selected text so take care when selecting to delete.
  8. Click Delete Vet Template Description to remove the template option and finish.

NOTE: when deleting templates, the text will still be visible on any file it was previously applied to, it will just not be available to use in future.
