Templated Documents - Foster Summary/Foster Contracts

There are two templates you can set up for Fosters: the Foster Contract, which appears at the top of the form, and the Foster Summary, which appears at the bottom. They are separated because you can set the Contract part to be linked to specific Reasons for Foster, while the Summary (with the animal information) is generally the same regardless of the Reason for Foster. 

 

You will need to have access to Administration to perform this task. 

 

Existing foster form information should be automatically copied, but you can customise as you require. 

 

To set up a contract:

The purpose of the contract is to provide the main body of text linked to the reason the animal is going into foster. You can set up multiple contracts for different reasons for foster. If the animal has multiple reasons for foster, it will display all of them. 

  1. Go into Administration > Templated Documents Administration
  2. Select the option Foster Contracts (used for person information and text) 
  3. Click Edit
  4. Set the Location if required. You can set different templates for different Physical Locations, or one template for all of them. 
  5. Enter the Description. This will help you identify it from a list later. 
  6. Set the Category. This is a list of Reasons for Foster. If selected, this template will only apply if that particular Reason for Foster is applied. If an animal has multiple reasons for foster, it should show all variable text. If none are selected, it will be applied to all. 
  7. Set the Language. This doesn't actually translate the form, it merely identifies it so you can select the language variable for the customer later. 
  8. Add the Body of text. This can be customised by using placeholders: 
    • You can add foster start and end dates by placing the cursor where you want them to appear, then click "The date the foster will start" or "The date the foster will end" from the placeholder list as applicable. 
    • To add information from the person linked to the animal, find the option in Placeholders called "Person - The Person fostering the animal" and add placeholders from here. This information is available so you can include it with the body of text if you require. 
    • To add basic information about your organisation (Organisation Name, abbreviation, phone number, address), use the Site - The Shelter/Sanctuary/Society/Etc and use the placeholders.
    • There is no option for animal information because this is found on the Summary template. 
    • You can also just free type directly into the Body canvas. 
    • If your customers require this form be available in various languages, you will need to recreate the form in any additional language (it does not auto-translate, but when printing the forms later it will offer an option to select which language you would like it offered in). 
  9. When your changes are complete, click Save or click Cancel to discard and return to the menu. 
  10. Once saved, the Templated Documents/Foster Contract menu will display. Your new template will be visible in the list. 

To set up a summary:

The summary represents the majority of the Foster form and cannot be linked to specific reasons for foster

  1. Go into Administration > Templated Documents Administration
  2. Select the option Foster Summary (used for animal information and signatures)
  3. Click Edit
  4. Set the Location if required. You can set different templates for different Physical Locations, or one template for all of them. 
  5. Enter the Description. This will help you identify it from a list later. 
  6. Set the Language. This doesn't actually translate the form, it merely identifies it so you can select the language variable for the customer later. 
  7. Add the Body of text. This can be set to include information specific to the situation by using placeholders: 
    • The combined list of the foster reasons for all foster instructions assigns the foster reasons selected for that animal to the form. 
    • The foster contract includes the information set up above. 
    • To add information from the person linked to the animal, find the option in Placeholders called "Person - The Person fostering the animal" and add placeholders from here. 
    • To add basic information about your organisation (Organisation Name, abbreviation, phone number, address), use the Site - The Shelter/Sanctuary/Society/Etc and use the placeholders.
    • To list all animals being added to the form, click Add Collection. Add the placeholder inside the red bordered box to make sure they all work. NOTE: you can type free text into this box as well, which may help. Options for animal information and foster instructions are available in this collection. 
    • You can also just free type directly into the Body canvas. 
    • Add a signature by applying The signed signatures or spaces for manual signing Add Collection box, then click to enter the placeholder inside the red text box you just created. This will either show a digital signature, or lines for manual signature as required. It will also show the date the form was generated/signed. 
    • If your customers require this form be available in various languages, you will need to recreate the form in any additional language (it does not auto-translate, but when printing the forms later it will offer an option to select which language you would like it offered in). 
  8. When your changes are complete, click Save or click Cancel to discard and return to the menu. 
  9. Once saved, the Templated Documents/Foster Summary menu will display. Your new template will be visible in the list.
