What do I do if an animal is deceased or no longer belongs to the listed owner?

On occasion, you may have a supporter notify you that their pet has passed away, or in tracking down the owner of an animal that had previously been with your organisation, discover they have given it away and have no information on who the new guardian of the pet is. What do you do?

Shelter Buddy has options to handle these situations. This process assumes the animal and person are already in your database. 

Notification that a Pet is Deceased:

  1. If the Animal's information (e.g. Animal ID number, Microchip number, Shelter Tag number, Licence / Registration tag number or tattoo ID) is known, use this to navigate directly to the Animal Details page. OR:
  2. From the Welcome Search page, search for the person. 
  3. Click List All Animals
  4. From the resulting list, identify the animal that has passed away and click Edit against that record to load the Animal Details page.
  5. In the right hand Animal Menu, locate the link Animal Deceased
  6. Click the link
  7. A pop up will deploy to ask if you are sure you want to do this, and reminding you this is an information only status (and therefore should never be applied to an in-care animal). Click OK to proceed.
  8. The pop up will close and the page reload. 
  9. The Animal's status will now be Deceased.
  10. The auto ageing will no longer apply to this animal. You will not be able to licence / register the pet etc as it is now marked as "not alive" (similar to a Euthanised status).

Notification that the Pet's Guardianship has Changed and is Unknown

  1. If the Animal's information (e.g. Animal ID number, Microchip number, Shelter Tag number, Licence / Registration tag number or tattoo ID) is known, use this to navigate directly to the Animal Details page. OR:
  2. From the Welcome Search page, search for the person. 
  3. Click List All Animals
  4. From the resulting list, identify the animal that has passed away and click Edit against that record to load the Animal Details page.
  5. In the right hand Animal Menu, locate the link Animal Privately Rehomed - New Owner Unknown
  6. Click the link
  7. A pop up will deploy to ask if you are sure you want to do this, and reminding you this is an information only status (and therefore should never be applied to an in-care animal). Click OK to proceed.
  8. The pop up will close and the page reload. 
  9. The Animal's status will now be Privately Rehomed - New Owner Unknown.
  10. This file will continue to function as normal from here, so if the new owner identifies themselves at a later date, the animal can be actively linked to them.
