Add Multiple New Wildlife Animals

First, try and get as much information as possible about the person dropping off the wildlife animal.  Try to get a driver’s license.  If that fails, try to get a name and phone number.  Only as a last resort should you enter a wildlife animal from an anonymous person.

  1. If you have at least the name of the person bringing in the stray, do the following:
    • Search for the person.
    • If found, skip to step #2.
    • If not found, click on the Create a New Entry link or click on the New Record link in the orange menu to the left of the screen.
    • Fill in the relevant blanks on the Add New Person Mandatory fields: first name, last name, residential address, mailing address if different than residential,   telephone number, and gender.  Depending on your organization you may be         required to confirm identification and include date of birth.
    • Click Update Details.
  2. If you have no information about the person bringing in the stray, access the Edit Person Details page that has been set up as Last Name: Person First Name: Anonymous. This page can usually be accessed from the New Person page. *This procedure may differ at different locations.  Be sure to double check with the manager.
  3. On the Edit Person Details page, click on the Scroll To Bottom link in the upper left hand section of the screen and click on the Wildlife link in the Personal Categories
  4. On the Wildlife  menu page click on the Add A New Wildlife Animal
  5. Complete the following (All Yellow fields are mandatory and may or may not be listed below):
    • Status: click on the down arrow to select the appropriate status for the animal.  The most common will be Awaiting Sort or Awaiting Foster.
    • Class: The selection from this list will determine the Type  WILDLIFE will default.
    • Type: The Type list is driven by what is selected in the Class Click on the down arrow to select the type of animal this is.
    • Breed/Species: The Breed/Species list is driven by what animal Type is selected. Type in the first one to four letters of the animal’s primary breed and the site will auto-suggest options for you. Click on one to select it. If no options are found, delete the text you type and click the No Matches Found. Click here to search link to the right of the Breed/Species text box.  A pop up menu will display with a list of all possible options. Select one to continue.
    • Primary Colour: The Colour list is driven by what animal Type is selected. Click on the down arrow to select the animal’s primary color.
    • Secondary Colour: The Colour list is driven by what animal Type is selected. Click on the down arrow to select the animal’s secondary color.
    • Gender: Click the down arrow to select the animal’s gender.
    • Size: Click on the down arrow to select the size of the animal.
    • Cause Of Affliction: click on the down arrow to select the reason why the animal has been brought to the shelter or the cause of injury to the animals.
    • Reason: click on the down arrow to select the general reason the animal has been brought in.
    • Injury: click on the injury to select it.  If there is more than one listed that is applicable; click on the first reason, press and hold the Ctrl key on the keyboard and then click on all other applicable injuries.  Release the Ctrl key when all applicable injuries have been highlighted.
      • Other Injury: enter the name of the injury if it is not listed in the previous field.  Only one or the other of the two fields can be populated.
    • Lost/Found Address or Location fields
      • If you have an exact address, enter it.
      • If you do not have an exact address a description, an intersection, landmark description or other information can be entered.
      • There will be additional release fields that display to the right of the screen. Leave these as is.  They are to be utilized after the animal has been assessed.
    • Are we able to call this person to release this animal?: click on the down arrow to select yes or no.
    • Is the person a registered wildlife carer?: click on the down arrow to select yes or no.
    • Tracking Device: enter identification of a tracking device if one was found on the animal.
    • How long ago was the animal rescued?: click on the down arrow to select how long it has been since the animal was found.
    • Did the animal eat or drink anything?: click on the down arrow to select yes or no.
    • Accession Number: enter an accession number, if applicable.
    • Is there any concern regarding animal exposure?: click on the down arrow to select yes or no.
    • Details: enter any additional notes required.
    • Click on Add Wildlife ID if ID was found on the animal. This will generate a popup window.
      • ID Type: click on the down arrow to select the type of ID that was found on the animal.
      • ID: enter the ID number.
      • Click Save
    • Click Update Details.
  6. Click on the Receipt for Multiple Animals
  7. The Multiple Animal screen will display.
    • Enter Animal Quantity: enter the number of animals, minus or not including the one that was just entered if it is the same Type as the additional animals.
    • Type: based on the animal information entered on the Edit Animal Details page, the type will default.  This can only be changed between baby and adult types (e.g. Kitten to Cat) and therefore is not applicable for Wildlife files. 
    • Gender: If the additional animals are of a different gender to the first, you can amend it here, provided they are ALL of this gender. 
    • Primary Colour: If the additional animal are of a different colour to the first, you can amend it here, provide the information is the same for all subsequent animals.
    • Secondary Colour: If the additional animal are of a different colour to the first, you can amend it here, provide the information is the same for all subsequent animals.
    • Circumstance: this will default to the same as the original animal, but can be amended if different for subsequent animals.
    • Feral: for wildlife, this field is usually irrelevant but may be required for introduced species. Usually, this will always be the same for Wildlife files.
    • Copy the above information to all new animals checkbox: This box will be ticked by default, so all the information above will copy to all subsequent files. If this information varies from animal to animal, un-tick this box and this will cause a pop up to deploy after the Multiply Animals button has been clicked that allows you to change these details individually for each consecutive file.
    • Click Multiply Animals.
      • If Copy the above information to all new animals was un-ticked, the pop up will deploy. You must update the details as above for each subsequent file.
      • If it was ticked, or once these details for all files have been updated, a pop up will deploy. 
  8. Popup Window: You will see a mini window pop up and the main page behind it will say Loading… Once the page is loaded the main window will then go back to the original Edit Animal Details page which is the first Animal ID on the popup window in orange.
  9. This function automatically assigns each animal with an Animal ID. The mini popup window is the link for you to use to go in to each animal record and add all of the specific details for each individual animal.  It can be minimized to the desktop tool bar at the bottom on your screen until you are ready to complete the details of the remaining animals.  To view the mini window: locate it in your bottom tool bar and click on it or toggle to it (hold the ALT key down and press TAB) *.
    • * If the mini popup window is accidentally closed, on the main window, in the Animal Menu on the right hand side of the screen, click on the Reload Multiple Animal Popup.
  10. The first Animal ID number link is assigned to the animal record you have already completed.
  11. Click on each additional Animal ID number link to complete each individual animal record. When you do this the main page will change to that animal record number you clicked on for you to update.  Ensure this is the correct record that you want to edit by looking at the Animal ID in the upper left hand corner of the main window.  If correct, click on the main window to edit.  The mini window will simply be behind it.
  12. All of the original animal’s details will default. If this is correct for all animals, skip to item #13 below. If it is not correct for all animals, check every field and change the appropriate fields to match the animal it is for.
    • Each time you click Update Details for the additional animal records you will notice that instead of going to the Receipt Type page it returns to the top of the animal record you just updated. Keep track by looking at the Animal ID as you edit each record.
    • Move on to the next animal record by accessing the mini popup window and clicking on the next Animal ID number. Repeat as necessary. 
  13. Once you have updated all of the animal records to reflect each individual animal, go back to the mini popup window and click on the Kennel Card This will change the main window to display the kennel cards
  14. You will notice there is a separate card for each animal, scroll down to view each.
  15. Click on the Print Kennel Card link to print all of the Kennel Cards
  16. Click on the Save Kennel Card link to move the Kennel Cards to each applicable animal record automatically.
  17. Once you have printed out and saved the Kennel Cards, bring up the mini window again, there is no need to click on the Animal Details link, and click on the Wildlife Receipt
    • You will notice that this link actually disappears and the main window displays the Add Receipt page.
    • At this point you can close the mini popup window by clicking on the Close Window
    • As a safety, the system will ask you if you are sure you want to close the mini popup window, click OK.
  18. The Add Receipt page will display.
    • Payment Method: Click on the down arrow to select Free of Charge. *Generally there is not a fee for admitting wildlife; however, this may differ at different shelters.  This page is displayed so that donations can be entered if needed.
    • If digital signatures are utilised by your site, have your client sign now.
    • Click Update + Print.
  19. Print copies of the receipt as required, and have the client sign your copy if digital signatures are not enabled.

Don’t forget to:

  • Add any applicable notes to the General Animal Notes link in the Animal Menu on the right side of the Edit Animal Details
  • Link the animals if they are part of a litter by using the Create Litter link in the Animal Menu on the right side of the Edit Animal Details
