Set a Volunteer as "Inactive"

If a person chooses not to volunteer any more, or is exited from volunteering for some reason. setting their Volunteer Details page as "inactive" will prevent them from showing up on available volunteer reports and on the rostering pages. 

Before a volunteer can be set up as inactive, reasons for making them inactive must be set up in Administration > Edit Drop Down Lists > Volunteer Inactive Reasons (user must have Administration access for this).

Once that is done, setting a volunteer as Inactive is a two step process:

Step 1:

  1. Find their Person Details page and click on the Volunteer PC
  2. Scroll to the bottom of the Volunteer Details page and select an Inactive reason from the drop down. 
  3. The date of inactivity will auto-update to Today's date: amend if required by clicking on the Calendar icon. 
  4. Click Update Details to save the change. 
  5. The volunteer is now set as Inactive. If you view the volunteer's Person Details page, the relevant PC will now display as (Inactive) Volunteer.

Step 2:

  1. Find their Person Details page and click on the Volunteer PC
  2. Scroll down to find any roles they show as trained and eligible for.
  3. Beside the "Finished training" date box there will be a link to Cancel Shifts2017-05-09_7-42-33.jpg
  4. Click the link to make sure the volunteer is removed from any rosters for future dates. 
  5. Failure to follow this step will nullify the Inactive status of the volunteer's profile. 

Step 3:

  1. Again, from the Volunteer Details page, locate and click on the link Edit Volunteer Sign-On User
  2. This link will take you to the Edit User page: scroll to the bottom
  3. Un-tick the box marked Active
  4. Click Save
  5. The volunteer's login is now inactive, so they can no longer log in as a volunteer.
