The following process can be done via the Edit Animal Details page or the Vet Notes page. This is utilized to record when vaccinations are given, tests are performed such as a Parvo or Heartworm test, flea and worming treatments are administered, etc. This is not where medications are administered.
- Search and access animal’s record via the Welcome page*.
- *Go To Animal ID: enter the animal ID and click View. The Edit Animal Details page will display.
- On the Edit Animal Details page on the right-hand side of the screen in the Animal Menu click on the Add Vet Treatment Record link. A popup window will display.
- On the Vet Notes page on the lower right-hand side of the screen in the Vet Treatments menu click on the Add Vet Treatment Record A popup window will display.
- Number of Treatments: Enter the number of vaccinations/tests/treatments to be entered.
- Click Show Treatments. The popup window will then display the treatment fields.
- If more than one vaccination/treatment is to be entered there will be additional treatment fields sectioned as you scroll down. Each section will be titled Treatment 1, Treatment 2, Treatment 3, etc.
- If a series of links appear and the treatment you wish to administer is among them, please see "Administering Subsequent Treatments".
- If a series of links appear and the treatment you wish to administer is NOT among them, click on the link Enter a different treatment located just beneath them.
- If a treatment with the same name already exists in the animal's treatment history, you will get a pop up that offers you a choice to administer the existing due treatment ("Enter Existing Treatment") or ignore it and add an all-new one ("Continue adding this treatment"). This helps guard against accidentally adding duplicate treatments. Make your selection to continue.
- Complete the following:
- Treatment Due: This is not a pre-scheduled treatment, leave this blank.
- Treatment Given: Today’s date will default. If this is not correct, click on the Calendar Icon to select the date the treatment was actually given to the animal. Don’t forget to check the time stamp – it will also default to the current time but can be amended by manipulating the dropdowns if required.
- Treatment Type Given: Click on the down arrow to select the name of the treatment that was given to the animal. Vaccinations including Rabies will display additional fields:
- Treatment Manufacturer: Click on the down arrow to select the manufacturer’s name if the default is incorrect.
- Treatment Type: This will default, but options can be added in Administration.
- Treatment Lot No: Enter the lot number.
- Expiration Date: Click on the Calendar Icon to select treatments expiration date that is displayed on the vaccination label.
- Route of Administration: (Rabies only) Click on the down arrow to select how the treatment was administered.
- Treatment Notes (Given): This is a free text note field intended to record information such as the dosage of a treatment if required.
- Treatment Cost: Enter the charge for the treatment, if applicable. *This will only display if the Products and Services module is not set up for your site – which assigns fees automatically that can be managed in the Products and Services link – and is used if the owner or adopting client is to be charged for the treatment.
- Results of Test: if the treatment was a test such as a heartworm or Parvo test, click on the down arrow to select the result.
- Next Treatment Due In: Fill in one of the four fields to indicate when the next treatment of the same type is due, if applicable. Entering a number in any of these fields will automatically set a date in the Next Treatment Due
- Next Treatment Due: Click anywhere in the free space of the popup window and the date will default based on the information entered in the previous field.
- Next Treatment Type: Click on the down arrow to select the name of the next due treatment. *This must be filled in for the date to show on the history and Kennel Card and to pre-schedule the next treatment.
- Vet Name: Click on the down arrow to select the veterinarian who administered the treatment.
- Administered by External Vet: If a vaccination was administered either before the animal entered care, or by a vet not listed as a regular vet for your site, you can enter their details into the text box here.
- Administered By: Click on the down arrow to select the person who administered the treatment if they were not a veterinarian. This will default to the current user's name.
- Repeat the above process if additional treatments are to be entered.
- When complete click Add Treatments. The popup window will disappear.
Administering Subsequent Treatments:
This process assumes the animal has already had at least one treatment administered to it prior to this occasion.
- Search and access animal’s record via the Welcome page*.

- On the Edit Animal Details page on the right-hand side of the screen in the Animal Menu click on the Add Vet Treatment Record link. A popup window will display.
- On the Vet Notes page on the lower right-hand side of the screen in the Vet Treatments menu click on the Add Vet Treatment Record A popup window will display.
- Number of Treatments: Enter the number of vaccinations/tests/treatments to be entered.
- Click Show Treatments. A series of links will display.
- Locate the treatment you wish to administer from within the list of links.
- If you are administering exactly the same treatment as the one listed, use the link Enter this treatment now to proceed.
- If you are administering an alternate treatment in the place of the one listed, use the link Overwrite this treatment with a different treatment.
- NB by necessity, this method only allows you to process one treatment at a time.
- Regardless ow which link you selected above, in the administration screen that will now display certain fields will auto-populate: e.g. the Treatment Due and Treatment Given dates.
- If you selected the link Enter this treatment now the treatment type will default and will not be able to be changed.
- If you selected the link Overwrite this treatment with a different treatment then you will be able to amend this field now as required.

- If your site has the Products & Services module enabled, a pop up will deploy informing you a product has been added. click ok to continue.
- The mini-screen will return to the original Add Vet Treatment screen.
- Repeat the above process if additional treatments are to be entered or click the X cross in the top right corner to close the mini-screen if finished.
Don’t forget to:
- Print out a new Kennel Card.
- Add any applicable notes to the General Animal Notes link in the Animal Menu on the right side of the Edit Animal Details
- Add any applicable notes to the Vet Notes link in the Animal Menu on the right side of the Medical Notes page
