Foster Animal Offspring Procedure

This procedure applies to foster carers notifying the shelter that a fostered animal has given birth.  The newborns need to be entered into the system as Foster Offspring.  This procedure assumes that the foster carer is in the Shelter Buddy system. 

  1. Search for the foster carer.
    • Searches can be done by the Basic Search field located on the Welcome page, the Advanced Person Search accessed by clicking on the Person Advanced Search link located on the right hand side of the Welcome page, or by utilizing the Available Foster List report (Reports in the orange menu on the left hand side of the screen – Foster – Available Foster List).
  2. On the Edit Personal Details page, click on the Scroll To Bottom link in the upper left hand section of the screen and click on the Foster Person link in the Personal Categories
  3. On the Foster Person page click on the Add New Foster Care Animal - Offspring
  4. Complete the following (All Yellow fields are mandatory and may or may not be listed below):
    • Status: if this does not default, click on the down arrow and select In Foster.
    • DOB: click on the Calendar Icon to select the date the animal was born in foster care.
    • Class: The selection from this list will determine the Type  DOMESTIC will default and should be used for cats, dogs, puppies, kittens and birds.  For small pets, such as mice, change this to Pocket Pet.  For unusual pets, such as snakes, change this to Exotic.  For farm animals, such as goats, change this to Livestock.
    • Type: The Type list is driven by what is selected in the Class Click on the down arrow to select the type of animal this is.  EX: dog, puppy, cat, etc. 
      • If cat or kitten is selected the Feral field will become mandatory.
    • Breed/Species: The Breed/Species list is driven by what animal Type is selected. Type in the first one to four letters of the animal’s primary breed then click Find Breed/Species or press TAB.  If the animal is a mixed breed, select the breed the animal primarily looks like.  A pop up menu will display with a list of entries starting from or containing the letters you entered in the order typed or a breed/species will automatically default.  If this is the incorrect breed/species, only type in the first letter of the desired breed to start the pop up menu.
    • Gender: Click the down arrow to select the animal’s gender.
    • Primary Colour: The Colour list is driven by what animal Type is selected. Click on the down arrow to select the animal’s primary colour.
    • Secondary Colour: The Colour list is driven by what animal Type is selected. Click on the down arrow to select the animal’s secondary colour.
    • Distinguishing Features: This field is VERY important! Record any patterns on the animal, missing appendages, any scars, tattoos, pregnant, on heat, any injuries, shaved patches etc.  Having no distinguishing features is a feature in itself so indicate this if that is the case.  This field makes the animal an individual. 
    • Date In/Found: Today’s date will default. Click on the Calendar Icon to select the date if this is incorrect.  This is the date the animal was born.
    • Jurisdiction: click on the down arrow to select the jurisdiction the animal was born in.
    • Shelter Location: click on the down arrow and select Foster.
    • Date In Shelter: This is the date the animal was actually brought into the shelter.  Today’s date will default.  Click on the Calendar Icon to select the date if this is incorrect.
    • Foster Notes: the foster carer’s details will default.
  5. Click Update Details.
  6. This will take you to the Receipt Type
  7. If there is only one newborn animal, click on the Fostering Instructions If there were more than one skip to step b.
    • Date In Foster: click on the Calendar Icon to select the date the animal went into foster care.
    • Date Due To Return: click on the Calendar Icon to select the date the animal is to be brought back into the shelter.
    • Reason For Fostering: click on the down arrow to select the reason the animal has gone into foster care.
    • Care Instructions: enter all care instructions that are to be given to the foster carer.
    • Click Update Details.
    • Print two copies of the form.
  8. If there is a litter, click on the Enter Multiple Animals
    • Enter Animal Quantity: enter the number of animals, minus or not including the one that has just been entered. 
    • Type: based on the animal information entered in the Edit Animal Details page, the type will default.
    • Click Multiply Animals. This will generate a popup window.
    • Popup Window: You will see a mini window pop up and the main page behind it will say Loading… Once the page is loaded the main window will then go back to the original Edit Animal Details
    • This function automatically assigns each animal with an Animal ID. The mini window is the link for you to use to go in to each animal record and add all of the specific details for each individual animal.  It can be minimized to the desktop tool bar at the bottom on your screen until you are ready to complete the details updates of the remaining animals. To view the mini window: locate it in your bottom tool bar and click on it or toggle to it (hold the ALT key down and press TAB). 
    • The first Animal ID Number link is assigned to the animal record you have already completed but you have not yet completed the Foster Instructions
    • On the mini popup window, click on the Foster Instructions link next to the first Animal ID Number link first. You will see the main page change to the Foster Instructions   Click on the main page to edit it and the mini popup window will simply go behind it.  Refer to step ‘a’ for assistance in completing the Foster Instructions page.
    • Once completed, the main screen will go to the Foster Instructions Summary. You may print if you wish, but there is a way to print the form with all animals on it later.
  9. Bring the mini popup window up and click on each additional Animal ID Number link in the popup window to complete each individual animal record.
    • All of the original animal’s details will default and you MUST change the information to match the next animal.
    • Each time you click Update Details for the additional animal records you will notice that instead of going to the Receipt Type page it returns to the top of the animal record you just updated.
    • Bring the mini popup window up again and click on the Foster Instructions link linked to the last animal record you updated before moving on to the next animal record. Keep track by looking at the Animal ID Number as you edit each record.
  10. Once you have updated all of the animal records and their foster instructions you can access the kennel cards for each by clicking on the Kennel Card Link on the popup window, if required.
    • Print Kennel Card: click on the link to print all applicable kennel cards.
    • Save Kennel Card: click on the link to save each kennel card to the applicable animal records.
  11. Bring the mini popup window up and click on the link to View the Fostered Animals and their summary
  12. A list of all animals you have just fostered will appear. Find and select Instruction Summary (Multiple) to load the Foster Instruction Summary featuring all foster animals in this group. This link can also be viewed from the Foster Details page by clicking List All Current Foster Animals.
  13. On the resulting form page, use the Print Form link to print a copy. 
  14. Once complete you can close the mini popup window by clicking on the Close Window Click Ok.

Don’t forget to:

  • Add any applicable notes to the General Animal Notes link in the Animal Menu on the right side of the Edit Animal Details page for each animal.

 

The following process returns an animal from foster care, there is not a multiple process for this.

  1. Search and access animal’s record via the Welcome page*.
    • *Go To Animal ID: enter the animal ID and click View.  The Edit Animal Details page will display.
  2. Status: click on the down arrow and select the appropriate status.  The most common will be Awaiting Sort.
  3. Shelter Location:  Click on the down arrow to select the appropriate location the animal will be placed in within your shelter. 
    • If known, click on the down arrow and select the kennel number of the kennel the animal will be placed in. If not known, this can be done after the animal has been placed.
  4. Click Update Details.

Don’t forget to:

  • Take and upload a new photo of the animal, if required.
  • Enter vaccinations, tests and treatments that have been administered.
  • Print out a new Kennel Card to be placed on the kennel where the animal is placed.
  • Add any applicable notes to the General Animal Notes link in the Animal Menu on the right side of the Edit Animal Details
  • Assign a kennel number to the animal once they have been placed, if it has not already been done.
