Troubleshooting GL Codes: Why is this disabled account still appearing on receipts?

You may find that from time to time you need to disable old GL Codes and replace them with something different. There are many reasons that you may need to do this, but to preserve historical data we always recommend you de-activate the old code. This means it can't be selected via the GL Code search and selected on a receipt. 

However, you may find that an old code that is now inactive is somehow being assigned to current receipts. 

This is because the GL Code was most likely already assigned to a product, service or fee group historically. It will remain visible for these until the item has been manually updated to the new code. 

These reports can help you find items that may have disabled GL Codes linked to them, so you can identify them more easily and update them to the new code. They are also helpful in simply making sure all your accounts are correct and current. 

  • Products and Services Export (report 727): this report simply lists all active products and services, their costs, fees, GL Codes and associated information. 
  • Vet Product Detail List (report 680): this report lists all prices and GL Codes for products associated with veterinary functions (vet treatments, medications, procedures and products). 
  • Adoption Fee Export (report 46): This report shows all the Adoption Fee Groups and associated information set up in Administration > Adoption Administration > Adoption Fee Groups
  • Sponsorship Products Report (report 509): this report lists all products associated with the Sponsorship module, including fees and GL Codes. 
  • Accounts List (report 703): this report simply lists all the financial accounts listed in your system for review. 

NOTE: License/Registration fees may also hold deactivated GL Codes, but at this time we have no report to review these. These will need to be manually monitored and corrected if/when anomalies are noted.
